Smartsearch Recruitment Ltd attaches great importance to the protection of your personal data. We therefore conduct our business in compliance with applicable laws on personal data protection and data security.

This privacy policy describes how your data is processed and what your rights are in respect of your personal data.

YOUR DATA AND HOW WE PROCESS IT

All information submitted by you in relation to job applications will be stored by Smartsearch. As the Data Controller, Smartsearch will share your details with the company for whom we are collecting job applications. The lawful basis under which your data will be processed is (i) for the legitimate interest of providing you with our services including updating you on the status of your application(s) and/or making you aware of other suitable employment opportunities; (ii) to comply with our statutory obligations; or (iii) for the performance of any contract, or for the purposes of entering into a contract, with you.

Your personal details, including your name, e-mail address, responses to application questions and CV (inclusive of any personal information held within such as address, date of birth, work history and education), are held and used by us for (i) For processing any applications made by you to vacancies advertised by Smartsearch (ii) For matching your details with other suitable vacancies advertised by Smartsearch or by the recruiting company of the vacancy for which you applied, and making you aware of them via email or telephone. We will only do this if we have obtained your prior consent to do so.

We process and store your personal data for as long as necessary to fulfil our legitimate interest, contractual and legal obligations. All personally identifiable information will be stored by Smartsearch for up to 1 year following your most recent job application, after which it will automatically be deleted. We may store your details for longer periods but will only do so if we have obtained your prior consent to do so.

Our applicant tracking system is a cloud-based platform and therefore accessible via a web-browser in any location. No data transfer is made to locations or third parties outside of the EEA.

HOW WE WILL CONTACT YOU

You may be contacted by either email, SMS or phone in relation to the processing of your job application(s) and inform you of updates on your job application(s). This will be done by Smartsearch or the company who is recruiting or representing the vacancy through us.

Decisions on whether your application is deemed suitable for a vacancy may occasionally be made based on your answers to single or multiple-choice answer questions. The decision on which answers are deemed suitable or unsuitable is not automated and is decided by either Smartsearch or the company representing the vacancy being advertised.

THIRD PARTIES

Smartsearch utilises a number of third party suppliers to fulfil its services to candidates and employers. In all cases, Smartsearch have sought and documented data security and data processing agreements with these third parties. Our applicant tracking system is a cloud-based platform and therefore accessible via a web-browser in any location. No data transfer is made to locations or third parties outside of the EEA.

YOUR RIGHTS AND ACCESS TO YOUR PERSONAL INFORMATION

Every data subject has the right to access, rectification, restrict processing and deletion of their personal information.

DATA ACCESS

If you require a copy of all data we are holding in a commonly used electronic format, please contact ricky@smartsearch-recruitment.com with the details of your request. Any requests will be responded to and completed within one month.

DATA DELETION

Should you wish for your data to be deleted, please contact ricky@smartsearch-recruitment.com with the details of your request.

DATA RESTRICTION & OBJECTION

Should you have an objection to any processing of your data or wish to restrict any further processing, please contact ricky@smartsearch-recruitment.com with details of your request.

DATA RECTIFICATION

Should you wish to rectify any data that you have submitted due to it being inaccurate or incomplete, please contact ricky@smartsearch-recruitment.com with the details of your request. Any requests will be responded to and completed within one month.

COMPLAINTS

If you feel there has been a breach of your rights or mis-use of your data, please contact us using ricky@smartsearch-recruitment.com. You can also submit a complaint direct to the Information Commissioner’s Office by visiting www.ico.org.uk/concerns

CHANGES TO OUR PRIVACY POLICY

This privacy policy may be changed by Smartsearch at any time. If we change our privacy policy in the future, we will set out those changes here. We encourage you to check the date of this policy whenever you visit our website for any updates or changes.
